Administrative Assistant

Position Description

Avenues in Motion, a community-based nonprofit organization serving northwest New Jersey, is hiring a full-time Administrative Assistant to join our dynamic team. The successful candidate will be responsible for handling administrative tasks that help the organization and its staff achieve their goals. This includes ordering supplies and inventory, device management, managing phone and copy services, maintaining records, and other general operational assistance. This role also is expected to support employee benefits administration, vendor management, and grants reporting efforts. The ideal candidate has impeccable attention to detail and a passion for mission-driven work.

The Administrative Assistant will report to the Business Manager and will also work closely with management level staff to ensure the various administrative requirements of the organization are met in a timely and effective manner.

This is a hybrid remote position offering a flexible work schedule with full benefits including healthcare, vision, dental, retirement contributions and paid time off. Anticipated salary range for this position is $55,000 – $65,000 and is based upon qualifications.

Key Responsibilities

    • Serve as first line of support for administrative tasks and support the efforts of the Business Manager and President
    • Serve as the primary point of contact for facilities and other vendors. Coordinate any updates/projects as needed and communicate any potential office impacts to the staff
    • Manage technology, phone services, and supplies/office inventory
    • Support various aspects of event planning, including quote solicitation, COI requests, and catering orders
    • Records maintenance and reporting, preparation/submission of annual state and federal filings

Basic Qualifications

    • BS or BA degree
    • Strong communications and time management skills with outstanding attention to detail
    • Ability to manage multiple deadlines and prioritize tasks accordingly
    • This is a hybrid remote work environment, but the position requires in-person participation for regular staff meetings
    • Valid NJ Driver’s License and car available for travel

Preferred Skills & Experience

    • 2+ years of administrative or other relevant business experience, especially in the nonprofit space
    • Flexibility to handle multiple priorities and ability to work quickly and efficiently
    • Ability to provide insight and opportunities for improvement

Program Specialist – Bicycle, Pedestrian, Driving Safety

Position Description

Avenues in Motion, a community-based nonprofit organization serving northwest New Jersey, is hiring a full-time Program Specialist to join our dynamic team. Avenues in Motion delivers programs that improve the mobility, the environment and overall quality of life in northwest New Jersey.

The successful candidate will be directly responsible for supporting the Bicycle, Pedestrian, and Driving Safety programs across the organization. These programs include on-bike education programs, community education events, and school-based education events. They will also provide support to specialized projects across the organization and serve as a backup for Avenues in Motion’s TNC program. Whether it is organizing education events such as a community bike safety presentation, presenting in-class bicycle, pedestrian or driver safety programs or supporting walkability studies, the Program Specialist has a direct responsibility to handle relationships and shows a comfort level teaching students of varying ages as well as interacting with various stakeholders, including school representatives, parents, law enforcement and other municipal leadership. This position requires organization and attention to detail in the outreach, planning, tracking, and reporting of all program activities. Additionally, this position will work closely with our Bicycle and Pedestrian Coordinator to assist in the advancement of livable and safe communities. This requires assistance at weekend bike safety and Learn to Ride events, demands attention to detail and an interest in pedestrian and bicycle safety.

The Program Specialist will report directly to the Active Transportation Manager and will work in tandem with other staff members.

This is a hybrid remote position offering a flexible work schedule with full benefits including healthcare, vision, dental, retirement contributions and paid time off. This position requires facilitating in-person weekend classes and events when necessary.

Anticipated salary range for this position is $43,000 – $47,000 and is based upon qualifications.

Key Responsibilities

    • Deliver Bicycle, Pedestrian, and Driving Safety education programs, both in-class and community-based for people of all ages. These programs include activities such as Bike Rodeos, Learn to Ride Classes, Bike Safety and E-bike education presentations, collaborations with community partners and municipalities, special events, and Bicycle and Driving safety programs for middle and high school students
    • Assist the delivery of pedestrian safety programing for older adults through collaborations with libraries, Independent Living Associations, and other community partners
    • Conduct outreach to community partners in Focus Communities to increase program delivery in underserved areas
    • Track program data and gather information for detailed reporting for all programs on a monthly and quarterly basis
    • Work collaboratively with other staff to deliver effective programs and community engagement

Basic Qualifications

    • BS or BA degree in education, communications, public health, or related field
    • Strong communications skills and attention to detail
    • Understanding of transportation safety as it relates to active forms of transportation
    • This is a hybrid remote work environment; however, ability to work weekends is a must
    • Valid NJ Driver’s License and car available for travel
    • Ability to ride a bike
    • Ability to lift up to 30 pounds

Preferred Skills & Experience

    • Experience in education, particularly in speaking in front of large groups of students
    • Ability to be flexible to handle multiple priorities
    • Analytical skills and the ability to provide insight and opportunities for improvement
    • Passion for pedestrian and bike safety and lived experience with active transportation or non-single occupancy vehicle transportation/commuting
    • Bilingual or multilingual a plus
